Understanding Contract Value, Billed, and Received

Every job in SCOPE has three core financial metrics that roll up from the individual CO rows into the job-level summary at the top of the detail view.

At the top of the job detail view, three status bar charts summarize the job at a glance:

To update Billed and Received:

  1. Open the job and click Edit in the toolbar to enter inline editing mode.
  2. Update the Billed and Received columns on each CO row.
  3. Click Submit to save.
Tip: Update these values every time you bill the client or receive a payment. Accurate Billed and Received data drives the Outstanding Balance report and the Revenue dashboard.

Tracking Job Progress with Field Status

The % Complete column on each CO row represents field progress — how far along the actual physical work is on that change order, from 0 to 100%.

Related columns that are calculated automatically:

To update % Complete:

  1. Click Edit in the job toolbar to enter inline editing mode.
  2. Update the % Complete field on each CO row (enter a number from 0 to 100).
  3. Click Submit.

The dashboard Performance card "Work Done Not Yet Billed" identifies jobs where % Complete significantly exceeds % Billed — meaning your crew has done more work than you have invoiced. This is a prompt to generate invoices before cash flow suffers.

Tip: Update % Complete weekly, ideally after your project manager's site walk. Combined with % Billed, this gives you a clear picture of where you are over-billed or under-billed relative to field progress.

Using Job Allowances

An allowance is a project-level budget pool for miscellaneous, contingency, or owner-directed work. SCOPE enforces the pool limit so you cannot inadvertently exceed what the client authorized.

Setting up an allowance on a job:

  1. Open the job in detail view.
  2. Click Edit Job Details in the toolbar.
  3. Enter a dollar amount in the Allowance field.
  4. Click Save.

Drawing from the allowance:

  1. Create a change order on the job.
  2. Set the CO status to ALLOWANCE.
  3. SCOPE deducts the CO price from the remaining allowance pool automatically.
  4. If the new ALLOWANCE CO would exceed the remaining pool, the save is blocked. Increase the allowance pool first if the scope genuinely warrants it.

The Allowance Status bar chart at the top of the job detail view shows pool used vs. remaining at a glance. The Allowance Report (Reports menu) shows this across all jobs.

Note: Once an allowance pool is set, SCOPE enforces it. If you need to add a new allowance CO that would push over the limit, update the allowance amount in Edit Job Details first, then create the CO.

Using the Calendar Timeline View

The Calendar view gives you a Gantt-style timeline of your entire job portfolio — useful for spotting scheduling gaps, overlaps, and planning upcoming work.

  1. Click SCOPE Menu (top-left) and select Calendar.
  2. The calendar displays all jobs as horizontal bars spanning their CO#0 date ranges across monthly columns.
  3. Use the ◀ YEAR ► navigation to move between years.
  4. Each bar is color-coded by job status — making it easy to distinguish active jobs from pending estimates at a glance.
  5. Click any job bar to navigate directly to that job in Proposals.

Tip: The Calendar reflects CO#0 dates (original proposal start and end). If a job's timeline shifts significantly, update CO#0 dates to keep the calendar accurate.
