Getting Started with SCOPE
Set up your account, configure your team, and get familiar with SCOPE.
Setting Up Your Company Profile
Your company profile supplies the branding and contact information that appears on every printed and emailed change order. Set it up before creating any proposals.
- Click the gear icon in the top-right corner to open the Settings menu.
- Select Settings, then expand the Company Info accordion section.
- Fill in your Company Name, Address, Phone, and Email.
- Click Save to apply the changes.
- To add your logo, click Upload Logo and drag and drop an image file onto the upload zone, or click to browse.
- For raster images (JPG or PNG), a crop tool appears. Adjust the crop frame to the 3.5:1 ratio (560×160 px frame) and click Crop & Save.
- SVG files skip the crop step and are saved immediately at their native proportions.
Tip: Your company name, address, and logo appear on all printed change orders and emailed documents. Keep this information current so your client-facing paperwork always looks professional.
Inviting Your Team Members
Add each person on your team as a SCOPE user so they can access proposals, change orders, and reports according to their assigned role.
- Click the gear icon → Administration → Users.
- Click Add in the toolbar.
- Enter the team member's Username (typically their first name or email handle).
- Assign a Role from the dropdown: Admin, Manager, User, or any custom roles you have created.
- Set a Temporary Password — make it something easy to share securely.
- Click Submit to create the account.
- Share the SCOPE application URL and the temporary credentials with your team member.
Tip: Advise each new user to change their password immediately on first login. SCOPE does not enforce a mandatory password change, so this is a best-practice reminder to include when sharing credentials.
Note: Each user account counts toward your plan's seat limit. If the Add button is blocked, your account has reached its seat limit. Upgrade your plan before adding more users.
Configuring User Roles & Permissions
Roles control what each user can see and do in SCOPE. Three built-in roles cover most teams, and you can create custom roles for more granular control.
Built-in roles (read-only — cannot be edited):
- Admin — Full access to all features including user management and settings.
- Manager — Can create, edit, and manage all proposals, jobs, and documents. Cannot manage users or change system settings.
- User — Can view all records, manage proposals and change orders, upload attachments, and sign change orders. Cannot manage users or system settings.
- Employee — Internal employee login. Can create and edit records, manage proposals and change orders, upload attachments, and sign change orders.
- Contact — External client login. Can sign change orders only. Assigned to client contacts for portal access.
To create a custom role:
- Click the gear icon → Administration → Roles.
- Click Add.
- Enter a name for the role (e.g., "Field Supervisor").
- Check each permission you want to grant from the following list:
view_all — View all jobs and proposals.
create_edit — Create and edit proposals, jobs, and COs.
delete_records — Soft-delete jobs and COs to the Recycle Bin.
upload_attachments — Upload files to COs and closeout items.
sign_change_orders — Apply an internal signature to a CO.
manage_proposals — Convert estimates, update job status.
manage_users — Add and edit user accounts.
manage_roles — Create and edit custom roles.
restore_records — Restore deleted records from the Recycle Bin.
manage_settings — Access the Settings and Administration pages.
- Click Submit to save the role.
Tip: Assign the minimum permissions necessary for each role. You can always expand a role's permissions later without disrupting existing users.
Navigating the SCOPE Dashboard
The dashboard is the first screen you see after logging in. It gives you a real-time financial and activity snapshot of your entire operation.
The dashboard contains 12 stat cards organized into three sections:
- Revenue & Billing (blue cards) — Contract value, billed totals, received totals, and outstanding balances.
- Activity & Pipeline (green cards) — Active estimates, jobs in progress, pending signatures, and open COs.
- Performance (amber cards) — Work done not yet billed, overdue COs, and other efficiency metrics.
Navigating the dashboard:
- Use the ◀ YEAR ► arrows at the top of the dashboard to change the reporting year. All stat cards update to reflect the selected year.
- Click the ⌂ (home) icon to snap back to the current year instantly.
- Click any job name displayed inside a stat card to navigate directly to that job in the Proposals section.
Tip: Bookmark the SCOPE dashboard URL for quick access. The year filter persists while you are logged in, so return to the home icon if the numbers look unexpectedly low.
Adding Companies and Contacts
SCOPE separates client organizations (Companies) from the individuals you work with (Contacts). Adding both upfront makes proposal creation faster — SCOPE auto-filters contacts when you select a company.
Adding a Company:
- Click SCOPE Menu (top-left) and select Companies.
- Click Add in the toolbar.
- Enter the Company Name.
- Start typing the address in the Address field — Google Places autocomplete will suggest matching addresses. Select the correct one to fill in City, State, and ZIP automatically.
- Fill in Phone and Website as needed.
- Click Submit.
Adding a Contact:
- Click SCOPE Menu (top-left) and select Contacts.
- Click Add in the toolbar.
- Fill in First Name, Last Name, Email, Phone, and Title.
- In the Company field, search for and select the company this contact belongs to.
- Click Submit.
Tip: Contacts linked to a company automatically appear in the Contact dropdown when you create or edit a proposal for that company. The more complete your contact list, the faster proposal entry becomes.
