Create estimates, write your scope of work, and convert proposals to active jobs.
Creating Your First Estimate
An estimate in SCOPE captures the full proposal for a job — client, location, estimator, price, and scope — all in one record. The first change order on every estimate (CO#0) represents the original base proposal.
- Click SCOPE Menu (top-left) and select Estimates.
- Click + Add Estimate in the toolbar.
- Fill in the proposal header fields:
- Job Name (required) — a clear, descriptive title for the project.
- Company — type to search your company list.
- Contact — auto-filters to contacts at the selected company.
- Job Location — start typing and select from Google Places autocomplete; City, State, and ZIP fill in automatically.
- Estimator — any active employee in your system.
- Representative — the internal salesperson or account owner.
- Due Date — the proposal expiration or bid due date.
- Fill in the CO#0 details below the header:
- Price — the total contract value.
- Description — a one-line summary of the work.
- Scope of Work — detailed rich text description of deliverables.
- Qualifications — terms, exclusions, and conditions.
- Click Submit. The estimate is saved and assigned an estimate number in the format
E001/26 (sequential number / two-digit year).
Tip: If the Estimator dropdown is empty, make sure the team member has been added under Employees and their status is set to Active. See the Contacts, Companies & Employees article for details.
Building Out Scope of Work
The Scope of Work field uses a full WYSIWYG rich text editor. What you write here appears word-for-word on the printed and PDF versions of the change order — it is the primary client-facing description of the work.
Supported formatting options:
- Bold and Italic for emphasis.
- Bullet lists and numbered lists for itemized scope items.
- Headings to organize large scopes into sections.
Type directly into the editor or paste text from an external source. Pasted text retains basic formatting. The rendered output on the printed CO matches the editor exactly.
Reminder: The Scope of Work field is client-facing. Avoid internal notes, cost breakdowns, or markup language in this field. Use the Description field for internal one-line summaries.
Tip: Keep your scope of work clear and specific. Vague language like "miscellaneous work" can create billing disputes later. List each distinct deliverable as its own bullet point.
Using Qualification Templates
Qualification templates let you quickly insert pre-written terms, exclusions, and conditions into the Qualifications field — no retyping required.
- In the Qualifications field on any CO form, click List Qualifications.
- A picker modal opens showing your saved templates, grouped by trade type.
- Check the individual items or entire templates you want to include.
- Click Insert Selected. The qualification text is appended automatically into the field.
To manage your qualification templates:
- Click SCOPE Menu (top-left) and select Qualifications.
- Add, edit, or delete templates and individual items from this page.
- Organize items by trade type so the picker stays easy to navigate as your library grows.
Tip: Build a set of standard qualification templates for each trade you work in — electrical, mechanical, civil, etc. A few minutes of setup here saves time on every future proposal.
Requesting a Digital Signature from a Client
SCOPE can send your client a secure signing link so they can review and approve a CO without needing a SCOPE account.
- Open the estimate or job by clicking the eye (view) icon on the row.
- In the view toolbar, click Request Signature.
- SCOPE sends an email to the contact on file for that proposal. The email contains a secure, tokenized signing link.
- The signing link is valid for 7 days. The client clicks it to open a read-only view of the CO.
- The client can sign using a typed name or a drawn signature — no SCOPE account required.
- Once the client signs, SCOPE records the signature and automatically converts the estimate to a job.
Important: The signing link is sent to the Contact on the proposal. Make sure the contact email address is correct before clicking Request Signature. If the wrong contact is set, edit the proposal first.
Note: For full E-SIGN Act compliance with a cryptographic audit trail, use the Sign button on the CO row directly within SCOPE. See the Change Orders article for the complete E-SIGN workflow.
Tip: If the client says they did not receive the email, ask them to check their spam folder. You can resend by opening the estimate and clicking Request Signature again — a new 7-day link will be issued.
Converting an Estimate to a Job
Once a proposal is approved, SCOPE converts it to an active job and assigns it a job number. This can happen automatically (via signature) or manually.
Automatic conversion:
- When CO#0 is signed — either by the client through the signing portal or by an internal user with the
sign_change_orders permission — SCOPE converts the estimate to a job automatically.
- The record moves from the Estimates tab to the Jobs tab and is assigned the next job number (e.g.,
J144/26).
Manual conversion:
- Open the estimate in detail view (eye icon).
- Click the green Convert to Job button in the toolbar.
- Confirm the action in the dialog that appears.
- The estimate number (e.g.,
E013/25) is replaced by a job number (e.g., J144/26) and the record appears under the Jobs tab.
Tip: Use manual conversion when you have a verbal or purchase-order approval and want to start working before the client signs digitally. You can always attach a signed document as a file attachment to the CO for your records.
