Organize your clients, project contacts, and internal team in one place.

Adding a New Contact or Company

SCOPE separates client organizations (Companies) from the individuals at those organizations (Contacts). Both records are needed to fully link your proposals to the right people.

Adding a Company:

  1. Click SCOPE Menu (top-left) and select Companies.
  2. Click Add in the toolbar.
  3. Enter the Company Name.
  4. In the Address field, start typing the address — Google Places autocomplete suggests matching results. Select the correct address to fill City, State, and ZIP automatically.
  5. Add Phone, Website, and any internal Notes.
  6. Click Submit.

Adding a Contact:

  1. Click SCOPE Menu (top-left) and select Contacts.
  2. Click Add in the toolbar.
  3. Fill in First Name and Last Name.
  4. In the Company field, search for and select the company this person belongs to.
  5. Add one or more Email Addresses and Phone Numbers.
  6. Enter the contact's Title and their Role: Decision Maker, Billing, Technical, or Other.
  7. Click Submit.
Tip: A contact can be linked to a company at any time — open the contact detail page and use the Company field to link or change associations without re-creating the contact record.

Linking Contacts to Jobs

The contact linked to a job determines who receives emailed COs and digital signature requests for that job.

  1. When creating or editing a proposal, select a Company first.
  2. The Contact dropdown auto-filters to show only contacts linked to that company.
  3. Select the appropriate contact. They become the primary contact for that job.
  4. All emailed documents (COs, signature requests) for this job go to this contact's email.

Enabling portal access for a contact:

  1. Open the contact's detail page.
  2. Enable Portal Access.
  3. The contact can now view COs shared with them online through the secure portal using their email address as their identity — no full SCOPE account required.
Tip: For legally binding E-SIGN compliant signatures, use the Sign button on the CO row directly within SCOPE — this captures full consent, a cryptographic audit trail, and generates a signed PDF. See the Change Orders article for the complete E-SIGN workflow.
Note: Only the contact linked to a proposal receives digital signature requests. If the wrong person is set, edit the proposal to change the contact before sending a signature request.

Searching and Filtering Your Contact List

SCOPE provides instant filtering on both the Contacts and Companies list pages to help you find records quickly as your database grows.

Viewing inactive records:

  1. Click ADMIN: List Inactive in the toolbar to reveal soft-deleted contacts or companies.
  2. Inactive records appear in the list with a visual indicator.
  3. To restore an inactive record: click Restore on that row. The record returns to the active list immediately.
Tip: Before adding a new company or contact, search first to make sure it does not already exist. Duplicate records can cause confusion when generating reports and filtering contacts on proposals.

Viewing a Contact's Full Job History

Every contact and company detail page shows a full history of all associated jobs and estimates — giving you a complete relationship view without running a separate report.

  1. Click a contact's name or a company name to open its detail page.
  2. Scroll down to the Jobs and Estimates tables.
  3. Each row shows the job or estimate number, name, status, and contract value.
  4. Click any job row to navigate directly to it in Proposals.

On a Company detail page:

Tip: Use the company detail page before a sales call to quickly review all past and current jobs, total contract value, and who the active contacts are — all in one place.

Managing Your Internal Employee List

Employees are your internal staff — estimators, project managers, and field supervisors. They appear in assignment dropdowns throughout SCOPE based on the Titles assigned to them.

  1. Click SCOPE Menu (top-left) and select Employees.
  2. Click Add to create a new employee record.
  3. Fill in Name, Email, and Phone.
  4. Assign one or more Titles from the list. Titles control which dropdowns this employee appears in:
    • Estimator — appears in some assignment dropdowns (e.g. RFIs, Submittals).
    • Other titles control appearance in the Submitted By dropdowns on RFIs, Submittals, and Releases.
  5. Click Submit.

To manage available title options: click the gear iconAdministrationEmployee Titles. Add, edit, or remove titles from this page.

Note: Employee records are separate from SCOPE user accounts. An employee record makes a person available in dropdowns on documents. A user account (gear icon → Administration → Users) lets a person log in to SCOPE. A person can be both an employee record and a user account.
Tip: If a team member does not appear in the Estimator dropdown when creating a proposal, check that their employee record exists and that their status is set to Active.
