Account & Billing
Manage your SCOPE subscription, seat count, and payment information.
Updating Your Billing Information
Payment method management is available directly in SCOPE for Admin users. Card and bank details are entered on Stripe-hosted pages — they never touch SCOPE servers.
- Open SCOPE and click the gear icon (top-right) and select Subscription.
- In the Payment Method card, click Add Payment Method (or Update Payment Method if one is already saved). You will be redirected to a Stripe-hosted checkout page to enter your card or bank details.
- Once a payment method is on file, click Manage Billing to open the Stripe billing portal — where you can view invoices, update billing address, and manage payment methods.
Alternatively, contact your account manager at Solution Monsters directly to make billing changes on your behalf.
Past due payments: If your payment is overdue, a banner will appear at the top of SCOPE. Update your payment method as soon as possible to avoid service interruption. Features may be restricted if a payment remains outstanding beyond the grace period.
Tip: The Payment Method card is only visible to Admin users. If these buttons appear greyed out, contact SolutionMonsters support.
Upgrading or Changing Your Plan
Admin users can change the plan tier and billing cycle directly from the Subscription page — no need to contact Solution Monsters for standard upgrades or downgrades.
- Click the gear icon (top-right) and select Subscription.
- Scroll to the Change Plan card (visible to Admins).
- Select your preferred billing cycle:
- Monthly — billed monthly at the standard rate.
- Annual — billed annually, 2 months free.
- Select a plan tier from the grid:
- Starter — up to 3 users
- Growth — up to 7 users
- Pro — up to 15 users
- Business — up to 50 users
- Click Change Plan. The change takes effect immediately and SCOPE automatically updates feature availability — no further steps required.
See the pricing page for a full breakdown of what each tier includes.
Tip: Your current plan is highlighted with a "Current" badge in the plan grid. The Change Plan button remains disabled until you select a different tier or billing cycle.
Adding or Removing Users
Each SCOPE plan includes a maximum seat count for full application users. Portal-only contacts (assigned the CONTACT role) do not count against your seat limit.
Adding a user:
- Click the gear icon → Administration → Users.
- Click Add.
- If you are at your seat limit, the Add button will be blocked with a message indicating you need to upgrade your plan. Use the self-serve Change Plan card in the Subscription page to increase your seat count, or contact Solution Monsters for help.
- If seats are available, fill in the username, password, and role, then click Submit.
Removing a user:
- Open the user record in Administration → Users.
- To deactivate a user: open the Users list, click the user row, click Edit, toggle the Active switch to off, then click Save. The user can no longer log in but their records are preserved. To permanently remove a user, click Delete.
Seat counts are reported to the billing system automatically. Your billing updates automatically to reflect your current active user count.
Note: Deleting a user account does not delete the records they created (proposals, COs, etc.). All records remain intact and fully accessible to other users.
Tip: When an employee leaves your company, deactivate their account immediately by toggling the Active switch off. Remove or reassign their records as appropriate before permanently deleting the account.
Cancelling Your Subscription
We are sorry to see you go. To cancel, contact Solution Monsters directly — cancellations cannot be processed from within the SCOPE app.
- Submit a cancellation request through:
- A support ticket from within SCOPE (gear icon → Help → Submit a Ticket), or
- The contact information on solutionmonsters.com.
- Once the cancellation is processed, your account enters a 7-day read-only grace period.
- During the grace period, you can view records and export data but cannot create or edit records.
- After the grace period, access to the SCOPE application is suspended.
- Your data is retained for 90 days after cancellation. If you reactivate within that window, all your data is restored.
Recommended exports before cancelling:
- Revenue by Job report (CSV) — for full financial records.
- Outstanding Balance report (CSV) — to identify any money still owed.
- Change Order Report (CSV) — for a complete CO audit trail.
- Any project closeout PDFs for jobs you need to retain for warranty or compliance purposes.
Important: After the 90-day retention period expires, your data is permanently deleted and cannot be recovered. Export everything you need before the grace period ends.
Tip: If you are cancelling due to a specific issue or concern, please mention it in the cancellation request. In many cases, our team can resolve the underlying issue and find a plan that works better for your team.
